To the King’s Community:
IITS is working in conjunction with Microsoft to further keep our email communications safe by enabling user photos in Outlook. This change will help give you confidence that your email communications with colleagues, students, and classmates are legitimate.
WHAT IS HAPPENING?
Photos from our ID Badging system are being automatically uploaded to Office 365. This change is important and significant, because it will empower our users to better trust that the person they’re communicating with is really a member of the King’s College community.
HOW DOES THIS CHANGE IMPACT ME?
When you send email messages to other folks on campus, a small thumbnail photo will appear next to your name. This thumbnail photo only lives inside of the King’s mail system. No recipients outside of King’s have the ability to see this photo.
WHO IS IMPACTED?
All current staff, faculty, and students at King’s, as well as outside contractors who have a valid King’s email accounts are having this security feature rolled out.
WHY IS THIS CHANGE HAPPENING?
Spoofed email attacks are a large source of otherwise difficult-to-stop malicious email activity. In recent months, several departments across campus have been targets of spoofing campaigns wherein bad actors have tried to scam folks out of money by posing as someone at King’s. By working with Microsoft to upload photos from our ID Badging system to Office 365, we can help you ensure the following:
- The colleague, student, or classmate you are receiving emails from authoritatively sent mail to you via our Office 365 mail system because they have a user photo attached. Only folks at King’s, and those non-King’s contacts who you have previously personally added to your private contact lists can have photos in the King’s mail system.
- Incoming emails from other senders won’t have a photo attached to their name, which will help you to quickly identify potentially spoofed email messages from bad actors posing as colleagues, students, or classmates and keep your account safe.
