| STUDENT POLICY FOR
CONTRACTUAL ARRANGEMENTS FOR ORGANIZATION SPONSORED EVENTS 1. It is the responsibility of the college advisor to verbally negotiate the terms of a contractual arrangement, not the student leader. This includes but is not limited to, performers, agents for performers, disc jockeys, bands, promoters, bus companies, and hotel personnel. (a) The student leaders of a class, club/organization who want to engage the services of a person/ven- dor outside the college have to work closely with their organization's advisor. (b) The advisor will determine if the terms of the contractual arrangement are agreeable after veri- fying the information with the student leaders rep- resenting the class or the club/organization. 2. The advisor will be the only one to officially have the "entertainer" or activity be put "on hold." The contract will be issued directly to the advisor, not to a student. (a) The advisor makes it clear to the vendor that only the vice president for business affairs can give the official college approval by signing the "re- viewed" contract. Up until the time the vice presi- dent signs the written contract no official con- tractual arrangement has been entered into. (b) The vice president for business affairs name is to be indicated on the contract for signature, since they are the only authorized person in the col- lege to sign contracts. 3. When the advisor receives the contract: (a) the advisor reviews it (b) forwards all riders (technical requirements, spe- cial needs, etc.) to the appropriate departments for approval. 4. After the contract and riders have been reviewed, it is the responsibility of the advisor to give it to the vice president for business affairs for signature. |
